Launch survey and survey deliverability

Overview:
The guide below explains how to create and launch surveys using the Welbee dashboard. It covers survey date/time creation, ensuring email deliverability, and accessing support when needed.
Important Note: We strongly advise all new schools and multi-academy trusts to allow our support team to launch their surveys to prevent errors or mistakes.

To effectively launch your survey on the Welbee platform, follow these steps:

1. Preparation:
  1. Ensure all staff records are added, and for Premium accounts, additional filters and questions are completed.
  2. Prior to the survey launch date, collaborate with your IT department or technician to ensure that emails received will be added to your safe senders list. You can copy and paste the following message:
Please add the following email addresses to our safe senders list. 
Invitations for our survey and for staff feedback are sent from the above addresses and using Amazon AWS.
They are sent via eu-west-1.amazonses.com

  1. Failure to do so may result in some staff members' invitations being delivered to their junk folder. If any staff member reports not receiving their invitation, instruct them to check their junk folder. If the issue persists, ask them to wait for the reminder email (sent on day 3 and day 8) and then report any missing invitations to support@welbee.co.uk. 
(Never create a survey as a test, contact support@welbee.co.uk who will be able to provide you with a test environment)

2. Creating your survey
  1. Access the Dashboard from the left-hand menu.
  2. Locate and click the "create survey" button in the bottom left control panel.
  3. A pop-up box will appear. Enter the desired start date and time for sending out invitations.
  4. Note that invitations will only be sent between the hours of 8 am and 6 pm Monday - Friday to respect staff working hours. Contact support@welbee.co.uk for special arrangements if needed.
  5. The number of employees will be auto-populated from your staff list to facilitate monitoring participation rates.
  6. Expect regular performance updates via email from the Welbee Support Team.
A warning message ⚠️ will appear like in the picture below if you try to create a survey before you have added your staff list (and also your additional questions and filters for Premium accounts)
