Follow this simple guide to prepare your staff list for your upcoming survey. Choose the method that worksbest for you!
Option 1: Want Our Support Team to Make the Changes for You?
Follow these steps, and we'll do the updating!
Go to 'Data Management'
Log in at home.welbee.co.uk.
On the left-hand menu, click on 'Data Management'.
Remove Staff Who Have Left (If only a few)
Find the person's name on the list within 'Data Management'.
Click the little bin icon (like a dustbin) next to their name to delete them.
Tip: Use the search bar or sort the list to find names quickly!
Download Your Current Staff List
In 'Data Management', click the RED button to download your list. This will save it as an Excel spreadsheet file on your computer.
Tell Us About Changes & New Staff (In the Downloaded File)
Open the Excel file you just downloaded.
To remove many staff at once: Find Column G (if you're a Trust) or Column H (if you're a School). Next to each person who has left, type 'DELETE' in that column.
To change details: Update any information that's changed (like names or job titles). Please highlight these changes in ORANGE.
To add new staff: Go to the bottom of the spreadsheet and add the details for any new starters. Please highlight these new staff in GREEN.
Send the File to Us!
Save your changes to the Excel file.
Email the updated and highlighted file to us at: support@welbee.co.uk
We'll take care of the rest!
Option 2: Prefer to Make All the Changes Yourself?
Here’s how to update the list directly in the system.
Remove Staff Who Have Left
Log in at home.welbee.co.uk and go to 'Data Management'.
To remove one by one: Find the person's name and click the bin icon.
Tip: Search or sort the list to find them easily.
To remove many at once (using the file method): a. First, click the RED button in 'Data Management' to download your current staff list. b. Open the downloaded Excel file. c. Find Column G (for Trusts) or Column H (for Schools). d. Type 'DELETE' in that column next to each person who has left. e. Save this file – you'll upload it in Step 4.
Download Your List (If you haven't already)
If you didn't download it in Step 1 (for bulk deleting), click the RED button in 'Data Management' now to download your current staff list.
Change Details & Add New Staff (In the Downloaded File)
Open the Excel file.
Change details: Update any info like names or job titles.
Remember: Make sure all the important columns are filled in for any changes or new staff.
Add new staff: Add new starters to the bottom of the list.
Save the file when you're done.
Upload Your Updated File
Go to 'Data Management' (at home.welbee.co.uk).
Click the GREEN button that says 'UPLOAD EXCEL'.
Choose the Excel file you just saved with all your changes.
Quick Check!
It's a good idea to check everything looks right.
In 'Data Management', click the RED button again to download the list.
Open it and quickly look through to make sure your changes are there and correct.
