Obtaining a high response rate helps ensure your results correctly reflect the situation across your school.

Overview

This page provides guidance on informing staff about your upcoming survey and achieving a high participation rate. Remember, your goal is to gather rich and valuable data, and that's only possible with a significant number of participants.

[School/Trust Name] is committed to protecting the health, safety and welfare of its staff and we acknowledge the importance of wellbeing and tackling the causes of stress in our workplace.
 
We would like your support in undertaking a survey, which is designed to find out how you feel about various aspects of working conditions here. We are asking you and your colleagues to do this to be sure that we are doing all we can to make this a good place to work. The survey is anonymous and the questions asked do not allow for any individual to be identified.
 
We have asked a third party, Welbee (welbee.co.uk) to run the survey for us. 
 
You will receive an invitation from them with a link to allow you to take the survey online, please complete it as soon as you can (or enter details of the survey launch date or a time for them to take it at work) and before (enter date). If you are unable to see the survey invitation then please check your spam/junk folder (delete one as appropriate).
 
When the survey responses have been collated, summary results will be shared with you, and we will reach an agreement on appropriate action.
 
Please take the time to complete the survey. It will indicate how well we are performing and where there may be opportunities for us to improve. Don’t rely on others to raise issues, as wellbeing and stress is subjective and can affect people in different ways.
 
The survey should take 10 minutes to complete. For each question click on the answer that most accurately reflects how you feel. There is also the opportunity for you to share comments about what you think is going well and how we might improve.

Target Response Rate

  1. 50% or below: Data is considered indicative and should be interpreted cautiously.
  2. Over 50%: Adequate response rate.
  3. Over 60%: Desirable response rate.
  4. Over 70%: Good response rate.
  5. Over 80%: Very good response rate and the ideal target.

  1. Emails: Send engaging emails outlining the survey's purpose, significance, and participation details. Include clear instructions and follow up with reminders. (An example message is provided below.)
  2. Posters: Design eye-catching posters highlighting the survey's benefits and participation instructions. Display them in high-traffic areas. (A sample poster is included in this guide.)
  3. Staff Briefings: Schedule meetings or briefings to discuss the survey. Address questions and concerns, emphasising its importance and encouraging participation. Make it interactive and engaging.
  4. Trust/School Literature: Incorporate survey information into existing newsletters, intranet sites, or handbooks. This ensures widespread awareness and understanding.

Maximising Participation - By using these communication methods together, you increase the chances of a higher response rate. Here are some additional tips:

  1. Emphasise the importance of staff feedback. Highlight how their input will contribute to improving the workplace.
  2. Guarantee anonymity. Assure staff that their responses are confidential and won't be linked to any individual.
  3. Make the survey accessible. Offer participation during work time, on various devices, and with clear instructions.
  4. Provide a timeframe. Set a deadline for completing the survey to encourage timely participation.
  5. Express gratitude. Thank staff for their time and contribution.
